Role Overview
We are seeking an experienced Head – Operations to lead and manage overall branch operations, ensuring efficient, compliant, and profitable performance across all activities.

1.Main Objectives of the Position

To manage the overall administration and operational processes related to lines, cargo, and vessels, ensuring efficient handling of equipment surveys and cargo at terminals. The role involves overseeing all branch operations in coordination with the Branch Manager and Operations Manager to ensure smooth, compliant, and profitable functioning of the branch.

  2. Core Responsibilities
  • Ensure efficient day-to-day branch operations, including timely and accurate reporting.
  • Administer the branch as a profit centre, meeting financial and operational targets.
  • Plan, coordinate, and monitor all activities to achieve smooth and profitable operations, in consultation with the Branch Manager and Operations Manager.
  • Maintain strong client relationships and manage key accounts to ensure high levels of customer satisfaction.
  • Ensure compliance with all statutory and legal requirements; liaise with relevant government authorities as required.
  • Handle staff recruitment in coordination with the Branch Manager and Operations Manager to fill vacancies arising from retirements, promotions, transfers, or resignations.
  • Ensure timely billing and recovery of dues in accordance with contractual terms and conditions.
  • Facilitate training and motivate staff to take on higher responsibilities and deliver excellence.
  • Address and resolve client queries promptly and professionally.
  • Ensure timely and accurate submission of all client and line reports, coordinating with CFS/yards for updates.
  • Conduct regular visits to operational sites, including CFS, vessel points, and client offices, to monitor activities and maintain visibility.
  • Provide prompt responses to client communications and maintain regular interaction to strengthen relationships.
  • Take full ownership and accountability of branch operations, keeping HOD/Management informed at all times.
  • Promote teamwork and foster a culture of proactive collaboration across offices.
  • Ensure smooth and uninterrupted running of the office/branch with proper documentation and communication of all meeting minutes.
  • Submit accurate and timely reports to HOD/Management on all operational and administrative matters.
  1. Departmental Management
  • Define and set SMART KRAs (Specific, Measurable, Achievable, Relevant, Time-bound) for all team members to measure performance effectively (e.g., zero operational errors, timely documentation, zero client complaints).
  • Continuously monitor and review team performance; identify training needs and initiate development plans.
  • Clearly define staff responsibilities and ensure accountability at all levels.
  • Conduct weekly team meetings and circulate minutes to Management and key stakeholders.
  • Monitor staff attendance, discipline, and adherence to company policies at all times.
